1. Who We Are
All Star Imaging ("ASI", "we", "us") operates astarimaging.com, a Canadian platform for browsing, purchasing, sharing, and downloading professional event photographs. We are committed to protecting personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.
2. Information We Collect
- Account information — name, email address, profile settings, authentication records, and related account details.
- Event and photo information — photographs, thumbnails, HD previews, album names, event dates, locations, teams, leagues, jersey numbers, captions, and other context used to organize and deliver galleries.
- Purchase and fulfilment information — cart contents, favourites, photos or album packages selected, order history, taxes, refunds, download activity, and share-link access records. Card numbers are processed by our payment provider and are not stored by ASI.
- Booking, support, and request information — contact form messages, service requests, consent confirmations, event instructions, no-photo or no-publish restrictions, and customer support communications.
- Photographer and operations information — photographer applications, contact details, portfolio links, equipment information, camera registrations, payout onboarding status, and related operational records.
- Technical information — session cookies, device/browser information, server logs, security events, search activity, and other diagnostic information used to operate, secure, and improve the platform.
3. How We Use Your Information
- Operate ASI accounts, galleries, carts, favourites, orders, downloads, and share links
- Organize, display, sell, and deliver event photographs and album packages
- Process payments, taxes, refunds, photographer payouts, and order confirmations
- Review photographer applications, service requests, event coverage, and support inquiries
- Apply privacy, consent, no-photo, safety, security, anti-fraud, and access-control restrictions
- Maintain business records, troubleshoot issues, improve the platform, and comply with legal obligations
We will not use personal information for unrelated purposes without first seeking any consent required by applicable law.
4. Photos of Minors and Event Consent
ASI's account features are not intended for children under 13. Because ASI provides youth sports and event photography services, event photographs may include identifiable minors, coaches, spectators, and other participants.
We rely on event organizers, requesters, leagues, schools, teams, parents, and guardians to obtain and communicate any required consents, notices, permissions, restrictions, or no-photo/no-publish instructions before an event. If you believe a child's image or information has been included without proper authority, contact us so we can review and, where appropriate, remove or restrict access.
5. Sharing Your Information
We share personal information only where reasonably necessary to operate ASI, provide requested services, comply with law, or protect the platform and our users. This may include:
- Payment processors — to process purchases, taxes, refunds, receipts, and photographer payouts.
- Identity and account providers — to manage sign-in, sessions, account security, and profile information.
- Cloud hosting, database, storage, and delivery providers — to host the platform and store, process, display, and deliver account, order, event, and photo data.
- Email, support, and communications providers — to send service messages, order confirmations, access information, and support responses.
- Professional advisers, authorities, or transaction parties — where required for legal, accounting, security, compliance, business transfer, or dispute-resolution purposes.
Service providers may process personal information in Canada or other jurisdictions. ASI remains accountable for personal information transferred for processing and uses contractual or other safeguards appropriate to the circumstances. We do not sell personal information to third parties.
6. Sharing Galleries and Download Links
Purchased album packages may include share links that allow recipients to view shared album previews and, where permitted, download eligible files. Recipients may be required to sign in before downloading. ASI may record share-link and download activity to support access control, audit, customer support, privacy, and security purposes.
7. Promotional Use of Photos
ASI does not use identifiable photos of minors in ASI advertising, portfolio materials, social media, sample products, or other promotional materials without appropriate express consent from a parent, guardian, or authorized organization.
8. Data Retention
We retain personal information only as long as reasonably necessary for the purposes described in this policy, including providing galleries and downloads, supporting purchases and re-downloads, maintaining tax and accounting records, resolving disputes, applying privacy and safety restrictions, preventing fraud, and meeting legal obligations. Photos and albums may be retained, archived, restricted, or deleted over time depending on the event, purchase history, operational needs, and applicable obligations.
9. Security
We implement commercially reasonable safeguards including encryption in transit (TLS), access controls, audit practices, and secure credential management. No online service can guarantee absolute security. In the event of a breach of security safeguards involving personal information under our control, we will assess, record, report, and notify affected individuals and regulators as required by applicable Canadian privacy law.
10. Your Rights
Subject to applicable law, you may request that we:
- Provide access to personal information we hold about you
- Correct inaccurate or incomplete information
- Delete or restrict personal information where legally and operationally appropriate
- Withdraw consent to certain uses or disclosures, subject to legal, contractual, transactional, safety, and technical limits
We may need to verify your identity before responding. Deletion or restriction may be limited where information is needed for completed purchases, tax or accounting records, legal obligations, dispute prevention, security, or where a photo also includes other individuals. 11. Communications
We may send transactional and service-related messages such as account notices, order confirmations, download information, service request updates, photographer operations emails, and support responses. We will seek consent for commercial electronic messages where required by Canada's anti-spam laws, and we will provide unsubscribe or opt-out options where required.
12. Cookie Controls
You can review and update optional cookie preferences at any time from the Cookie Settings page. Essential cookies remain enabled to operate account, cart, checkout, and security functions.
13. Changes to This Policy
We may update this policy from time to time. Material changes will be posted on this page with a revised effective date. Where required by law, we will provide additional notice or seek consent before materially changing how we collect, use, or disclose personal information.
